Exhibitor Agreement
Submission of this registration indicates I have read and agree with the provisions outlined by the Federation of Genealogical Societies in this agreement regarding exhibit space at the FGS 2020 conference to be held at the Kansas City Convention Center, Kansas City, Missouri, September 2-5. I agree to abide by the conditions outlined in the agreement.

Booth Rental Fee: $269 per 10x10 booth space ($199 for non-profit organizations)

Available space will be assigned based on the order in which reservations and payments are received by FGS.

Cancellation Policy: Due to the uncertainties surrounding the COVID-19 pandemic, FGS is waiving its cancellation fee. All exhibitor cancellations for the 2020 FGS Conference must be received in writing or sent by email to exhibits@fgs.org no later than July 31, 2020. Cancellations received or postmarked after July 31, 2020 and no-shows will not receive a refund.

Should there be a cancellation of the conference due to local or national restrictions, FGS will provide full refunds to exhibitors.

FGS is continuing to plan this event. However, our organization will not hesitate to cancel if prevailing circumstances are such that it would not be safe for exhibitors and/or attendees.

Each booth will include:
10' X 10' booth space
7' high back drape
3' high side drapes
(1) 8' draped table
(2) chairs
(1) waste basket
(1) exhibitor ID sign

One complimentary conference registration is provided to each exhibitor regardless of the number of booths purchased. Should an exhibitor register for booths under two or more company names the booths will be treated as separate exhibit booths and be divided by side drapes.

Exhibitor shall be responsible for identifying and complying with all applicable federal, state, and local laws, rules, and regulations, including those concerned with safety, registration and licensing, and taxation.

Booth furnishing, including chairs for in-booth presentations, must stay within the assigned booth space and may not encroach on aisle ways.

Tear Down
Exhibitors may not dismantle booths prior to the close of the exhibit hall at 3:00 p.m. on Saturday, 5 September, unless previously arranged with the exhibits chair due to special circumstances.

Early departures from the exhibit hall are prohibited, except in the case of an emergency. Early departure due to an emergency may be approved by the Exhibits Chair, National Conference Chair, or FGS President.

Alert for Possible Scam about Hotel Rooms:
Last year FGS was made aware of exhibitors receiving phone calls from someone claiming to represent FGS in offering better hotel rates for our exhibitors.

If you receive such a call, please know that is not from anyone authorized by FGS to contact you and it, very possibly, is not even a legitimate offer from a legitimate company.

FGS has not and will not share your contact information with anyone other than our conference decorator, Best Expo. Best Expo will contact you regarding exhibit hall details and additional furnishings and services for your booth.
